CRM implementation · Sales process
CRM implementation for control over inquiries and quotes.
Who last spoke to the customer? Has the quote gone out? When do we call again? We build the CRM around the questions your team needs answered every day.
CRM implementation at PIKA. Digital means: we define the sales stages, migrate the agreed data, connect the sources of inquiries, set up automations and onboard the team. We also maintain the CRM we build. At Naitors we built it for five salespeople who had worked in Excel.

When
When does it make sense to set up a CRM?
When several people work the same contacts and cannot see who last called a customer. When inquiries arrive from several sources. When the director struggles to see open quotes.
A simple test: if the answer to how sales are going is “I think it’s going well”, it’s time for a CRM. At Naitors, that was typically the director’s answer when he wanted a sales report.
In the first call we look at how you work today and what the system has to support. We adapt the proposal to your process, data and team.
Scope
What does CRM implementation include?
Data
Connections and assignment
Quotes and a manager’s view
Onboarding and support
After the quote
What happens after a quote is sent?
A quote gets a status, a value and an owner. We also record the date of the next contact with the customer. When the customer replies, you record the decision, the reason for a lost deal or the date to follow up.
The team opens its activity list and sees which customers are waiting for a response. The head of sales follows open opportunities, sent quotes and reasons deals closed. We set the reminder rules to match how you sell.
Automation
What can we automate in a CRM?
An inquiry is logged in the CRM automatically, gets an owner and a deadline for the next contact. The system makes sure every follow-up happens, and contacts are nurtured by how warm they are. Salespeople spend more time on conversations, and the director gets an exact overview.
This is part of our AI automation: AI Ops makes sure the CRM, contact scoring (lead scoring) and content flows run automatically, while your team works where human judgement is needed. More on the Systems page.
From practice
What does CRM implementation look like at Naitors?
| Area | Before: Excel | Now: CRM and system |
|---|---|---|
| Data entry | Manual retyping | Automatic entry, central register |
| Follow-ups | Not done | Automatic, by how warm the contact is |
| Contact ownership | Unknown | Clear assignment, tracked by the system |
| Director’s overview | Guesswork | Statuses, pipeline and conversions in real time |
Naitors sells PVC windows and doors. Five salespeople tracked inquiries in Excel and nobody knew who had last called a contact. With a working system, Google search brought 56 inquiries in one month (April/May 2026) at a CPL of 14,57 €, and Meta another 11. By October 2026, monthly inquiries had climbed to almost 100. Time
How long does CRM implementation take?
In our standard process, CRM setup is part of the 30-day AI Ops sprint, which follows the 14-day diagnostic. We give the exact deadline after the review, because it depends on the state of the data, the number of integrations and automations, and how responsive both teams are.
Preparation
What do we need from you to start?
Show us how you collect contacts, prepare quotes and record next activities today. We review the existing tools, data and connections. We also name a person on your side who will work with us on implementation and takeover. We need access to systems and feedback within three working days of a request (terms of business).
Price
What affects the price of a CRM implementation?
The price depends on the number of users, the state of the data, the sales stages, the integrations and automations needed, and on team onboarding. We have no fixed price list. The offer itemises the licence, setup, data migration, integrations and support separately, and we agree deadlines after reviewing the scope.
FAQ
What do companies ask most often before a CRM implementation?
Do we have to replace our current CRM?
Not necessarily. We first check what your system already does. If it can support the agreed process and integrations, we scope the adjustments needed. If it cannot, we propose another solution and say why.
Do you migrate data from spreadsheets?
Yes. We review the structure and quality of the data and agree what to migrate. Before migration we define duplicate records, mandatory fields and who is responsible for filling gaps. At Naitors this replaced the Excel file in which five salespeople tracked inquiries by hand.
Is the licence included in the implementation price?
The offer itemises the licence, setup, data migration, integrations and support separately, so every cost is visible on its own. That way you know exactly what you pay once and what you pay monthly.
Do you stay available after implementation?
Yes, we build the CRM and we maintain it. We write the scope of support into the offer: who handles changes, who monitors the integrations and who helps the team with daily use.
What can you automate in a CRM?
Entering inquiries from forms, assigning an owner to a contact, follow-up reminders and nurturing contacts by how warm they are. We set the reminder rules to match how you sell.
